Programming Policy
If you aren't allowed to do it outside of Otakuthon, it isn't allowed at Otakuthon.
Panels policies
Due to a restricted amount of seats available for panels, we ask attendees to:

Be respectful to others. We will not allow people to reserve seats for people who will come late.

To ensure everyone’s safety, all attendees must have a designated seat. Standing people or observers will not be tolerated unless directed by panels staff.

At the end of every panel, the room will be emptied.

We will be doing head counts and reserve the right to cut a line short to allow traffic to flow in the corridors.
Workshop policies
Due to the popularity of workshops, we are implementing a reservation system through Badge: Self-Service for most workshops.

Workshops are available to register one day before they are available at 15:00

You can only register one attendee per badge for a workshop

For Chibi-Chibi (children aged 6 and under), a registered adult can attend with the child and share the material for the workshop.

The vast majority of workshops remains free; however, some workshops have a nominal fee for 5$ to help cover material costs.

As any paid extras are non-refundable.

Payment will be collected online through Badge: Self-Service.

Should you need any help, please go to Customer Service line in the Registration Area located at the metro level of the Palais des congrès de Montréal.

The workshops team will not be able to share equipment for reservations or provide technical assistance for reservations at the Holiday Inn.

Should a participant fail to attend a workshop they reserved, the spot will not be reallocated.

Due to the new venue, no lineup will be accepted for workshops on the main floor

You may wait in the lobby until we start accepting people to enter the workshop

Please consult the Guidebook to find out which workshops require a reservation. A few workshops are offered on a walk‑in basis.
Event policies
Due to a restricted amount of seats available, we ask attendees to respect the following:

Be respectful to staff members and volunteers.

No seat reservation will be allowed during free events. We will not allow people to reserve seats for people who will come late or who are further away in the line-up.

Walk at all times. Your security is important to us. There is no need to run or rush to get your seat.

Follow the directions of the staff to your seating place.
-
Be respectful to others around you: do not stand on the chairs and don't climb on another person’s shoulders in the event rooms.

Pictures and video recordings are prohibited unless a staff member or the artist allows you to do so.
-
Consumption of food, drink or illicit substances (drugs, alcohol, etc.) is prohibited in the event rooms.
-
Be respectful of the premises : pick up your trash and dispose of it in the right place.
Tips to enjoy Otakuthon’s workshops, panels and events

Check out the Guidebook in advance and plan your activities. Schedules will change and Guidebook will be your reference!

Always follow staff directions for everyone’s safety and enjoyment.

Failure to comply with these rules may result in the withdrawal of the badge.
Panellists, workshop hosts, and game show hosts reimbursement policies
At Otakuthon, we’re always working to improve your experience when you submit content to us. To help streamline the process, we kindly ask that you select PayPal as your preferred payment method during preregistration.
Here is all the information you will need:

The panellist table where you can get assistance will be located behind the curtains next to the Game shows room.

We are no longer processing reimbursements during the convention; all reimbursements will be processed no later than one month after the convention.

PayPal and Square preregistered panellists and hosts will receive their reimbursements digitally.

For pre-registrations done in any other method, the reimbursement will be processed by E-Payment.

The reimbursement will be provided to the primary account holder of the preregistered panellist or host. It is the responsibility of the panellist and the host to arrange the retrieval of their money with the person who ordered their badge.

No cash reimbursement.

Reimbursements will be done by September 30, 2026.
