Contest Rules – The Perfect Otakuthon Experience

Rules

The contest “Registration to Otakuthon”* is organized by Otakuthon and is held during the online pre-registration to the Otakuthon 2019 event. Anyone who purchases at least one badge for Otakuthon 2019 on the convention’s website will automatically be registered for the contest.

To be eligible in this contest, the buyer has to purchase their badge here between April 26, 2019 and June 30, 2019.

The draw will be on July 1, 2019, at 10 am.

The participants could win:

A total value of $1 000.

Eligibility Requirements

The participants have to respect the following restrictions, failing which Otakuthon retains the rights to cancel one or many participations:

The following people are excluded from participating in the contest: staff-volunteers working as Directors, Vice-Presidents, and Presidents of Otakuthon, any collaborators of the present contest, their advertising and promotional agencies, any prices, material, and service providers related to this contest, and any other contributor directly related to this contest, as well as their immediate family members (father, mother, brothers, sisters, children, legal spouses, common-law partners) and anyone with which resides the above staff-volunteers, agents, and representatives.

How to participate

By pre-registering

To be eligible, the participant has to purchase at least one badge here for Otakuthon between April 26, 2019, and June 30, 2019. Only the account holder of the purchased badges (of minimal value of $50) will be automatically registered to the contest. Limit of one participation per person.

By Mail

The participant must submit an entry as follows: they must print in ink and legibly on a piece of paper their complete name, street address (including province/territory and postal code), a daytime telephone number (including area code) and his/her valid email address. Then that Participant must place that paper in a postage-paid envelope and mail it to: "Contest: Registration to Otakuthon, 5115 avenue Trans Island, Suite 205".

Outer envelopes for mail-in entries with no return address on the outside will NOT be honoured. Mail-in entries that are sent in business-reply envelopes, in envelopes that utilize or bear address labels or stickers that are photocopied, hand-stamped, computer-generated or otherwise mechanically produced or reproduced, that are not addressed manually in ink, that fail in any way to comply with the requirements set out above in this subparagraph, or that are not mailed separately in separate envelopes bearing sufficient postage will NOT be honoured (i.e., there can be only one mail-in entry per envelope). All envelopes containing mail-in entries must be received no later than June 30th, 2019. If a mail-in entry is received after June 30th, 2019, no entry will be recorded in respect of that mail-in entry on behalf of the person who submitted that envelope. Limit of one participation entry per person.

Closing date of the contest

June 30, 2019, 11:59 PM EST

Distribution of the prizes/Restrictions

The draw will take place in Otakuthon’s Offices on Monday, July 1st, 2019 at 10:00 AM EST.

The winner will be contacted by email on Monday, July 1st, 2019.

To be declared a winner and to claim their prices, any randomly selected participant will have to:

If all of the above conditions or any other condition set out in these rules are not respected, a new draw will take place, in accordance to the present rules until a participant is selected and declared a winner.

Prize and prize portions are non-exchangeable, non-transferable, non-refundable, have no cash surrender value and must be accepted as awarded with no substitutions. All applicable federal and provincial taxes (including but not limited to federal, provincial and municipal income taxes) applying to the prize, or associated with the prize and any reporting consequences thereof are solely the responsibility of the prize winner.

As required by law, Contest Sponsors reserve the right to substitute and/or modify a prize, or prize portion, with a prize of equal or greater value for any reason. Should a winner be unable to claim his/her prize or prize portion as awarded, his/her rights to that prize or prize portion will be forfeited. 

All incidental costs and expenses not specifically referred to herein as part of the prize description (the “Expenses”) are the sole responsibility of the Grand Prize winner (and/or guest where applicable).

The prize winner (and/or guest where applicable) shall not seek any expenses reimbursement from the Contest Sponsors.

Access to the website

The contest organizer does not, under any circumstances, guarantee that the website will continuously be accessible or functional during the contest or that no error will occur.

Modifications

Otakuthon reserves the right, at their sole discretion, to cancel, terminate, modify or suspend this contest, in whole or in part, should human intervention or an event take place that could alter or affect the administration, security, impartiality or conduct of the contest as provided in these contest rules, subject to approval by the Régie des alcools, des courses et des jeux du Québec, if applicable.

Early termination of the contest

Should the contest be prematurely terminated, in whole or in part, prior to the closing date stipulated herein, Otakuthon will proceed with the draw among the entries duly registered and received during the Contest Period or, as the case may be, up to the date of the event that ended participation in the Contest.

Authorization

By entering the contest, any winner authorizes Otakuthon to use their name, photograph, image and/or voice without any form of compensation, at its sole discretion and without limit as to the period of use, in any media, worldwide, for advertising purposes or any other purpose deemed relevant.

Personal Information

All of the collected personal information on the participants will not be shared by Otakuthon.

Disagreements

Any litigation respecting the conduct or organization of a publicity contest may be submitted to the Régie for a ruling. Disputes about the awarding of a prize can be brought before the Régie solely for the purposes of intervention in an attempt to settle said disputes.

Unenforceability

If a section of the Contest Rules is declared or deemed illegal, unenforceable or invalid by a competent court, that section shall be considered invalid, but all unaffected sections will be applied within the limits of the law.

Jurisdiction

This Contest is subject to all applicable federal, provincial, and municipal laws.

Contest free participation refund process:
 
- Only the primary account holder can request a refund for an account.

- To request a refund, the participant must write "I am requesting a refund of my registration" with their signature on their no-purchase-required entry in their mail submission. If the submission has been already mailed, the participant can send the refund request to registration@otakuthon.com with the subject line "Contest entry refund" from the primary account holder email address and indicate their submission is in the mail.

- Refunds will only be processed when we receive the mail entry and only if the name and email provided match the primary account holder name and email.

- Refund entries must be postmarked no later than May 31, 2019 OR the corresponding email must be sent no later than May 31, 2019 11:59pm ET.

- Accounts which are refunded do not benefit from special pricing if they are reactivated later.
